When you first access the Cover Manager module you must use the Configuration tab to setup the module to suit you. All settings saved in the Configuration tab are applied throughout the module.

Work through the options listed in the right hand menu of the Configuration tab. The options available are explained in the table below:
Option | Explanation |
Cover Configuration | Manage Cover Settings. This is the first option to display when you access the module, use the sections available to start up the Cover Manager module. Also enable cover cycles and setup basic variables to apply to covering teachers, such as the maximum number of lessons each teacher should cover in a day. See Getting Started with Cover Manager for more information. Manage Cover Cycles. Create and manage cover cycles from this option. Cover cycles are time periods, usually terms, which must be setup for the Cover Manager module to operate. Any parameters or cover rotas you setup are applied within each cover cycle. See Setting Up and Managing Cover Cycles for more information. Cover Terminology. This option is not currently in use. Cover Parameters. Setup parameter weight values to be applied to all teachers linked to the Cover Manager module. Parameters are applied to each teacher's cover and timetable data to generate a cover rating. Cover ratings influence the order in which teachers are listed when allocating cover. This assists you in selecting the most suitable teacher for cover. Teachers with a high cover rating are at the top of the list of 'Free' teachers and most likely to be selected to cover lesson. Teachers with a low cover rating are lower down the list. Manage Structures | Manage Periods & Days. Manage Buildings & Rooms. Use these options as a shortcut to information held in the Timetable Manager module and the Estates Manager module. This is a useful tool to view information linked to the Cover Manager module. Exercise caution when using these options as editing this information can cause structure problems in your timetable. |
Manage Staff & Teachers | Manage Staff & Teachers. All current staff members are listed here, not just those linked to the Cover Manager module. Expand the tree view and click on a selected teacher to view basic contact details. Do not edit staff details from this option as this changes details held in the Human Resources Manager module. This option is different from the Manage Staff & Teachers option in the Manage Cover tab. Manage Staff Linking. Use this to link staff members listed in the Human Resources Manager module with the Cover Manager module. It is essential that you do this before you try and allocate cover to lessons. See Manage Staff Linking for more information. |
Cover Agencies | Manage Cover Agencies. Manage staffing agencies, agency staff and their bookings from this option. See Using Staff Agencies for more information. |
Cover Lists Configuration | Absence Reasons. Setup reasons for teacher absence. These are used in the Manage Cover tab when marking a teacher absent and requiring cover. See Managing Absence Reasons for more information. Room Closure Reasons. Not currently in use. Event Reasons. Not currently in use. Unavailable Reasons. Setup reasons for teachers being unavailable for cover. These are used in the Manage Cover tab when marking a teacher unavailable for cover. See Managing Unavailable Reasons for more information. |
Cover Publication & Styling | Cover Slip Messages. Setup the messages sent to teachers when cover has been arranged and published. These are the messages sent by SMS or e-mail to teachers covering lessons and those teachers whose lessons are being covered. You also have the option to setup a print version of messages. See Managing Cover Slip Messages for more information. Cover Styling Options. Use the sections available to setup the display of cover on timetables viewed from the Wizard Bar. See Cover Styling Options for more information. Publication Options. Select how much cover arrangement information is published, how it is published and where it is displayed. Use the Reset tab available in this option to reload the default settings for Publication Options. |
Master Cover Timetable | Timetable Header Options. Customise the header of the Master Cover Timetable. See Cover Timetable Header Options for more information. Timetable Footer Options. Customise the footer of the Master Cover Timetable. See Cover Timetable Footer Options for more information. The Master Cover Timetable is a report on cover arrangements made in the module. Print Timetable Style. This is not currently in use. |
E-Mail Options | E-Mail Templates. This is not currently in use. Setup e-mail templates in Cover Slip Messages. E-Mail Logging. All e-mails sent from the Cover Manager module are logged here, providing an audit trail. See E-Mail Logging in Cover Manager for more information. |
SMS Options | SMS Templates. This is not currently in use. Set-up SMS templates in Cover Slip Messages. SMS Logging. All SMS messages sent from the Cover Manager module are logged here, providing an audit trail. See SMS Logging in Cover Manager for more information. |
Module Options | Component Harness. This links to the Component Harness option in the Timetable Manager module. Contact the Help Desk if any of the components are listed either as not installed or not working correctly. This may be reason why the module is not operating correctly. See Component Harness for more information. Re-Install module. Use this option to re-install the entire module or reset any configured settings back to their default. See Re-Install the Cover Manager Module for more information. |
