Exam Cycle Calendar

Use the Exam Cycle Calendar option in the External Exams Manager module to view and edit exam times for the entire exam cycle. It is recommended that you use this option when you need to make a number of checks and changes to the exam timetable.

A useful calendar view is displayed where you have the option to drag and drop exams around the calendar to prevent clashes. BaseData only stipulates that an exam is AM or PM; with this option you can adjust the timetable slightly to accommodate your candidate requirements.

If any changes have been made to an individual candidate's exam locations and times they are not shown on the Exam Cycle Calendar. Run the Full Cycle Timetable to see a full schedule of exams.

To use the Exam Cycle Calendar:

1. Open the External Exams Manager module and select the Timetables tab.
2. Select Exam Cycle Calendar from the right hand menu to display the Exam Calendar window:
   
3. Use the drop down list in the top right of the window to select the exam cycle that you want to work with. The BaseData containing exam programme details is specific to each exam cycle.
4. Use the selections in the top right to display the calendar in a Day, Week or Month view to suit you.
5. Use the navigation arrows on the left of the window to scroll through the calendar or select a specific date from the drop down:
   
6. Click Edit Mode in the top left of the window if you need to change any of the exams shown or view an exam in more detail.
   Either:
   • Drag and drop exams to different time slots to suit your requirements. Changes are saved automatically.
     or
   • Double click on an exam to view the Edit Exam Timetable window and update the Location or Scheduled Date/Time of the exam. Click Save & Close once you have made your amendments:
     
7. Once you have made all the changes you need to make, click  in the top right of the Exam Calendar window to close it:
   

8. Any changes are highlighted purple in Programme Timetables and Candidate Timetables:
   

   Individual changes to exams for specific candidates are not affected by changes made in the Exam Cycle Calendar.
