Once you have opened a pupil record in the Pupil Manager module, use the Health Record option in a pupil record to view and manage a pupil's medical and dental details.
Use the Medical Centre module instead of the Health Record option if you have this module installed.
To work with health records:
- Open the Pupil Manager module, select the Current Pupils tab.
- Search and select a pupil record to work with.
Go to the Additional Information menu on the right hand side and select the Health Record option.
A number of tabs are available for you to work with:Tab
Includes...
Basic health details, including the pupil's NHS and EHIC number. An overview of any medical conditions and the pupil's vaccination record is also displayed for you. This provides useful at-a-glance information.
Details of medical arrangements to be made for a pupil during school trips. Also list medical information in different languages for medical badges, as required.
Details of medical conditions.
Details of the pupil's dentist and their next dental appointment.
Sight and hearing test results and notes.
Details of vaccinations and booster dates.
The pupil's height and weight for a given date.
Details of the pupil's doctor.
Detailed medical notes for the pupil. This is useful for logging details of an accident or any medication that the pupil requires.
General Health Details
- Complete the Pupil Health Details section:
- Select 'Yes' in Medical Flag for a flag to display in the pupil records list.
- Use the Medical Flag Notes field to add the reason for the pupil's medical flag, for example 'Diabetic - Type One'. This is displayed when you hover over a medical flag in the pupil records list:
- Use the Disabilities drop down list to add details of any disabilities that the pupil may have:
- Add more than one disability if needed.
- Use the arrows to arrange disabilities in order of dominance and remove any that no longer apply.
Complete the Additional Health Details section, as required, with details such as whether the pupil wears glasses and their NHS number.
This screen may contain custom fields.
- The Conditions Overview and Vaccination Overview sections are available if the Medical Centre module is not installed. Use these to list any medical conditions or vaccination details.
- Click Update Data at the bottom of the screen.
Health Details for School Trips
- Select the Trips tab.
- In the General Notes field, enter details of medical arrangements to be made for the school trip.
- Use the Medical Badge - Lang 1/2/3 fields to enter the text for the pupil's medical badges. Enter a different language in each field, as required.
- Click Update Data to save the new data.
Medical Conditions
The functions in the Conditions tab are not available if your school is using the Medical Centre module.
- Use the checkboxes available to log various medical conditions.
- Click Update Data to save the new data.
Dental Information
- Use the General Information field to add any relevant dental notes. This is useful for noting ongoing dental treatment.
- Enter the pupil's Teeth Condition.
- Click Update Data to save the new data.
Eyes and Hearing Information
- Use the fields displayed to enter details of ophthalmic and hearing test results and treatments.
- Click Update Data to save the new data.
Vaccination Records
The functions in the Vaccinations tab are not available if your school is using the Medical Centre module.
Existing vaccination details are listed at the bottom of the Vaccinations tab.

BMI Records
The functions in the BMI tab are not available if your school is using the Medical Centre module.
Existing BMI records are listed at the bottom of the BMI tab.

Doctor Information
- Select the pupil's doctor from the drop down list. Click to add a new option to a drop down list.
- Click Update Data to save the new data.
Health Notes
The functions in the Notes tab are not available if your school is using the Sanatorium Manager module. Notes are listed as Medical Notes in the Sanatorium Manager module.
Existing health notes are listed at the bottom of the Notes tab.
