Use the Manage Arrangements option in the External Exams Manager module to view and manage any special arrangements that need to be made for current internal candidates. This might be extra time for exams or rest breaks required because of a candidate's special educational needs. Arrangements can be made for candidates that span specific dates or selected exams if necessary.
- Any changes made here will automatically update the details listed in the internal candidate record and the SEN Manager module.
- Extra time is displayed on Candidate Timetables and Invigilator Printouts and the Candidate Arrangements report.
- Candidate arrangements can also be linked to the Parent Portal and Pupil Portal for arrangements to be checked online.
To use the Manage Arrangements option:
- Open the External Exams Manager module and select the Candidates tab.
- Select the Manage Arrangements option from the right hand menu to display this screen:
All current internal candidates with arrangements are shown in alphabetical order. Candidates may have more than one arrangement listed. - Choose to:
Add an Arrangement
- Click Add Arrangement in the header bar to display this window:
- In the Candidate section either:
- Start typing the Candidate Name and select the candidate that you want to work with from the list displayed.
or - Enter the candidate number in the Candidate Code field. The Candidate Name field is populated for you.
- Start typing the Candidate Name and select the candidate that you want to work with from the list displayed.
- Use the radio buttons in the Arrangement Duration section to select how the arrangement is applied to the candidate:
- Date Range. Select a Start Date and End Date for the arrangement to be in place. This is useful if a candidate only requires rest breaks because of an injury.
- Exam Code. Enter an exam option code for the arrangement to be used for. This is useful if a candidate only needs extra time for selected exams, for example a candidate with dyscalculia may only need extra time for maths exams.
- Permanent. The arrangement is to be applied for all of the candidate's exams all of the time.
- Use the Arrangement Details section to enter any extra time, arrangements or notes. Extra time is added as a percentage of the standard allowed time for an exam.
- Click Save Changes. The arrangements are listed.
Candidates can have more than one arrangement listed if required: - Click on the arrow in the Notes column to display arrangement notes.
View, Edit and Download arrangements
- Use the filters to view selected candidate arrangements:
Search for arrangements by:- Option Code. Only arrangements to be applied to the exam option code that you enter are displayed.
- Date. Only arrangements to be applied on the date selected are displayed.
- Arrangement Type. Only the arrangement types you select are displayed.
- Inc Former Pupils. Check to display past candidates with arrangements. This could be useful for passing onto a new school.
- You may need to click to update the results.
- Sort results by either candidate number or name by clicking in the column headers:
- Click on the arrow in the Notes column to display arrangement notes.
- Click in the header bar to download your results.
- Click in your selected arrangement record to edit any details. This window is displayed:
- Click Delete Arrangements in the header to remove any existing arrangements.
