Once you have created a deposit fee you can create an application form in the Admissions module.
- Application forms are setup as either an 'Enquiry' or 'Registration' type. Registration application forms required a deposit.
- You can create as many forms as you need. You may want a different form for enquiries and registrations for each year group or have the same form translated into different languages.
To create an application form, follow the steps below:
In the Admissions module, select the Portal tab:
The Admissions Portal must be enabled for the Portal tab to display in the Admissions module.
- Select Manage Portal Forms from the right hand menu.
- Click Add New Form. The Create Form window is displayed:
Complete the Form Properties section:
Field Use to... Active Mark the form for use in the Admissions Portal. Choose to deactivate a form that is used for a year group that is currently full. This way no new applications can be made for that year group through the Admissions Portal. Form Name Enter a clear and concise name for the form. This is displayed in the Admissions Portal and the Admissions module. Form Plural Name Enter a clear and concise plural name for the form. This is displayed as a screen header in the Portal tab. Form Type Select whether the form is to be used for an 'Enquiry' for a pupil or 'Registration' of a pupil. If 'Registration' is selected the Gateway field is displayed at the bottom of the window. This is for payment of registration deposits. - In the Available Years section, select the year groups that this form applies to. Hold Ctrl to select multiple year groups.
- In the Payment Gateway Properties section (this section is only displayed for 'Registration' forms):
- Select the payment Gateway that you want to use for registration deposits.
- Select the Deposit Fee that you want to apply to this form.
- Click Save Form. The new application form is displayed in the Manage Portal Forms screen.
You must now add more detail to your new application form:
- Click in your new application form:
The Edit Form window is displayed. - Select the User Notifications tab:
Complete the fields available to set up notifications to iSAMS users every time the application form is completed in the Admissions Portal:
Field Explanation Enable User Notifications Select 'Yes' to start using the notifications feature. Email Subject Enter the subject line for the notification email. Write the body of the notification email in the free text box. Use the standard toolbar to format your email, as required. Email Recipients Select the iSAMS users who are to receive the notification email. Hold Ctrl to select multiple users. - Select the Parent Notifications tab:
Complete the fields available to set up notifications to parents once an application form has been completed in the Admissions Portal:
Field Explanation Use Parent Notifications Select 'Yes' to start using the notifications feature. Email Subject Enter the subject line for the notification email. Write the body of the notification email in the free text box. Use the standard toolbar to format your email, as required. Add fields using the drop down list in the top right of the text box, where required.
Only 'Registration' forms generate a reference number.
- Select the Theme tab and select one of the default colour themes for your form. You may want to choose a theme that reflects your school colours or the styling of your school website or have a different theme for each form that you create:
- Click Save Form and select OK in the popup window displayed.
- Click in the form to see how it is displayed in the Admissions Portal:
- Once you have created an application form you can embed it into your school website.
