Registration Present Codes

Use the Configuration tab in the Registration module to manage the codes used to mark a student as present in the school register.

This is useful for non-statutory registration periods, for example a registration period set up for students attending an end of year exam. The student may not have to attend school full time at this time of year so does not attend the usual statutory registration periods. Mark the reason for a student's attendance as 'Exam' and a record is kept of their attendance in school.

Registration present codes can be specific to your establishment and do not have to be linked to a government code. Government codes are not used to provide reasons for attendance.

To manage registration present codes, follow the steps below:

1. Open the Registration module and select the Configuration tab.
2. Select Registration Present Codes from the right hand menu to display this screen:
   

3. Choose to:

   Create a registration present code.

   1. Click Create Registration Present Code in the centre of the screen to display this window:
      

   2. Work through the sections displayed:

      Section	Explanation
      Present Reason Details	Code. Enter a single letter, number or symbol which represents the registration present code. Each registration present code must be unique. You are prompted to try another code if the code you have chosen is already in use. Name. Enter a name for the registration present code. Use an easily recognised term such as 'Exam' or 'Sports Match'. Colour. Click on the box and select a colour to represent the registration present code. This colour is displayed in the marker box on a register. Use colours to highlight different reasons for attendance.
      Display Options	Limit the use of registration present code in the different view options of registrations. This reduces the margin for error when assigning registration present code to students. Show on School Register. Check the box to include the registration present code, where made available through the rule, in a drop down list on the school register. Show on Status Pages. Check the box to include the registration present code, where made available through the rule, in a drop down list on the Period View and List tabs.

   3. Click Save & Close once the details are as required.
      The registration present code is now set up. It is listed in the Registration Present Code screen and can be selected in a school register:
       

   Edit a registration present code.

   1. Click on your selected registration present code in the left hand menu to display more information:

      
      Current properties for the code are displayed in the central panel.

   2. In Management Options, click Edit Present Registration Reason to display this window:
      

   3. Work through the sections displayed:

      Section	Explanation

   4. Click Save & Close.
   Delete a registration present code.

   Only codes which have not been used in registrations can be deleted.

   1. Click on your selected registration present code in the left hand menu to display more information:

      

   2. In Management Options, click Delete Present Registration Reason.
      You are prompted Are you sure you want to delete this registration present reason?

   3. Click Yes. The registration present code is now deleted.

   Arrange the registration present codes.

   Change the arrangement of the registration present codes used in the school register. Position the most used at the top of the drop down list to save time when taking a register.

   

   To arrange the registration present codes used in the drop down list, follow the steps below:

   1. Click Arrange Registration Present Codes in the centre of the screen to display this window:

      

   2. Use the scroll bar, to scroll down the list of registration present codes.

   3. Click on a registration present code.
   4. Use the arrows, , to reposition the registration present code in the list.
   5. Repeat this process until the list is arranged as required.
   6. Click Save & Close.
