Use the Add Staff tab in the HR Manager module to add staff records to iSAMS. Choose to setup records for current or applicant staff, as required.
A wizard guides you through the stages required to create a staff record. The stage you are working on is highlighted on the right hand of the screen to help you:
Once you have completed the wizard you must create an account for each staff member. This ensures that staff members have access to iSAMS as expected. See Create Staff Users for more information.
Step 1: General Staff Details
To add a staff record in the HR Manager module:
- Select the Add Staff tab:
Step 1 of the Add Staff wizard is displayed: - Enter School Initials. These must be unique as they are used to identify the member of staff throughout iSAMS.
- Complete the Core Details section with the staff member's name. Some fields are completed for you to save time.
- Complete the Personal Details section.
- Select the staff member's System Status from the drop-down list. This indicates whether the staff member is an applicant or current member of staff.
- Click Next Step to open the next step of the Add Staff wizard.
Step 2: School Admin Details
An example of step 2 of the Add Staff wizard is shown below:
To complete step 2 of the Add Staff wizard, follow the steps below:
- Select the staff member's School Roles using the checkboxes available. This indicates the teaching level or role within your school. Click to add a new role, if required.
- Select an Academic House and Boarding House to link the staff member to. This is optional. Hold Ctrl to make multiple selections if required.
- Use the drop-down lists to setup the staff member as:
- Teaching Staff. Select 'Yes' to indicate if staff member is a teacher. This enables a timetable to be created.
- Personal Tutor/Pastoral Tutor. Select 'Yes' if a staff member is to be allocated a form group.
- Part Time.
- Complete the School Contact Details section. This must be completed for the staff member to receive e-mails and text messages via iSAMS.
- Use the Other School Contact field to list additional contact numbers or addresses. For example, a department e-mail address.
- Click Next Step to open the next step of the Add Staff wizard.
Step 3: Personal Staff Details

To complete step 3 of the Add Staff wizard, follow the steps below:
- Complete the Personal Details section using the drop down lists available. Click to add a new option to a drop-down list, if required.
- Complete the Family Details section, if applicable.
- Complete the Enrolment Details section. The staff member will move from applicant to current on the Enrolment Date (this only applies if you have configured the HR Manager module to use the Auto Enrolment function).
- Click Next Step to open the next step of the Add Staff wizard.
Step 4: Staff Contacts
An example of step 4 of the Add Staff wizard is shown below:
To complete step 4 of the Add Staff wizard, follow the steps below:
- Complete the Home Address section. All information listed here is private and is not used in e-mails or text messages sent from iSAMS.
- Uncheck the box marked Same as Home to add a Term Address, if required. All information listed here is private and is not used in e-mails or text messages sent from iSAMS.
- Use the Contact Notes field to add information regarding the staff member's contact details. For example, the best time of day to contact the staff member.
- Click Next Step to complete the wizard. An ID number is generated, this is unique for each staff record:
The staff record is now listed under the Manage Staff tab. - Click Go and Add another Staff Member to start the wizard again.
- Once you have completed adding staff members you must create an account for each staff member. This ensures that staff members have access to iSAMS as expected. See Create Staff Users for more information.
