Use the Global Lists applet in iSAMS Control Panel to view and manage selected drop down lists used throughout iSAMS. For example, add to the ‘Nationality’ list in Global Lists and this new option appears when choosing the nationality of a pupil in the Pupil Manager module.
Some commonly used default global lists, such as those used for 'Titles' are set up for you.
Choose to:
- Create a List Group. Lists are referred to as 'list groups'. You must create a list group before you can add items ('list objects') to your list.
- Add New List Objects. Each item in a list group is referred to as a 'list object'. Add as many list objects to each list group as you require.
- Edit Object Properties. Change the name of a list object or add a description. All uses of the list object are updated automatically throughout iSAMS, this saves time.
- Delete List Objects. Remove an obsolete list object from a list group. Any uses of the list object are removed throughout iSAMS.
- The Edit List Group Rules function is not currently in use.
- It is not possible to delete a list group.
Create a List Group
Create a new list group in the Global Lists applet. Your new list can be linked and used in modules throughout iSAMS. For example, add a 'Favourite Colours' list and link this to the Pupil Manager module.
To create a list group, follow the steps below:
- Select the Global Lists applet from Control Panel.
The Global Lists screen is displayed: - Click Create a List Group. A popup window is displayed:
- Specify a Group Name for the list group. For example, you can name the group 'School' to compile a list of schools in your organisation. You must give your list group a name before saving.
- Specify the Object Name for your first list object. You must create a list object with a new list group. Enter a name for the first list object included in the list group.
- Specify an Object Description, as required. Choose to enter a short description to identify the object from others in the list group.
- Click Save & Close. The new list group is listed in the Global Lists screen. You are now ready to add list objects to your list group.
- This list can now be added to your selected module.
Add New List Objects
Add a new entry to a list group in the Global Lists applet. Your new list object is then found where the list group is used in iSAMS. For example, the 'AllergySeverity' list group will automatically update in the relevant parts of iSAMS when the 'Hay fever' list object is added.
To add a new list object, follow the steps below:
- Select the Global Lists applet from Control Panel.
The Global Lists screen is displayed. - Locate and select the list group you wish to add to from the menu on the left of the screen. List groups are stylised as folders in the menu:
- Click Add New List Object. A popup window is displayed:
- Specify an Object Name to easily identify it in the list group. You must name the list object before saving.
- Specify an Object Description, as required. Choose to enter a short description to identify the list object from others in the group.
The option to set the list object as a Common Object is currently not in use. - Click Save & Close.
Edit Object Properties
Edit the settings for individual list objects in the Global Lists applet. For example, use the applet to edit a list object's description. Your new settings applies to the list object throughout iSAMS.
Please proceed with caution when editing a list object. Editing individual list objects causes linked pupil data to be permanently lost. It is strongly recommended that you create a new list object, amend pupil records and delete the previously-used list object instead.
To edit an object's properties, follow the steps below:
- Select the Global Lists applet from Control Panel.
The Global Lists screen is displayed. - Locate and select the list object you wish to edit from the menu on the left of the screen. List objects can be found inside the folders representing list groups:
- Click Edit Object Properties. A popup window is displayed:
- Edit the Object Name, as required. For example, change the object name from 'moderate' to 'mild'.
- Edit the Object Description, as required. Enter a short description that identifies the object from others in the list group.
The option to set the list object as a Common Object is currently not in use. - Click Save & Close.
Delete List Objects
Delete list objects in the Global Lists applet. The deleted list object no longer appears in iSAMS. This is useful for removing erroneous entries from global lists.
Deleting list objects permanently removes them from all associated records in iSAMS. Deleted data is not retrievable. You must ensure that the list object is not currently in use before deleting it from your system.
To delete a list object, follow the steps below:
- Select the Global Lists applet from Control Panel.
The Global Lists screen is displayed. - Locate and select the list object you wish to delete from the menu on the left of the screen. List objects can be found inside the folders representing list groups.
- Click Delete List Object.
You are prompted Are you sure you want to delete this list object? - Make the appropriate selection.
The list object is removed from the system.
