Use the Agencies & Schools option in an applicant record to log agency and other school details. This is useful for recording admissions information such as competing schools and admissions agencies that introduced the applicant to your school. You can also log information about the applicant's Current School and Education History.
Choose to:
- Add agency details.
- Add current school, reference and entrance interview details.
- Add an applicant's school history.
- Add competing school details.
Add Agency Details
Use the Agencies & Schools option in an applicant record to log details of the agency who introduced the applicant to your school. This is useful for overseas applicants and is linked to both the Marketing tab in the Admissions module and the Agent Manager module.
To log agency details, follow the steps below:
- In the Admissions module, select a records tab:
- Search and select an applicant record to work with and select Agencies & Schools from the right hand menu.
- Select the Agencies tab:
- Select an agency from the drop down list displayed.
- Click Save Record.
The agency details and any agreed charges are displayed in the applicant record.
Click to delete agency details, if required.
Add Current School Details
Use the Agencies & Schools option in an applicant record to log details of the applicant's current school. You can also add current school reference request and entrance interview information as required. This is useful when updating the applicant record as they progress through the admissions process.
To add current school details, follow the steps below:
- In the Admissions module, select a records tab:
- Search and select an applicant record to work with and select Agencies & Schools from the right hand menu.
- Select the Current School tab:
- In the Current School field, either:
- Click and enter the applicant's current school name in the window displayed.
- Select the applicant's current school from the list displayed.
Click ok to return to the Current School tab.
or
Click to add a school if the current school is not listed. This is a shortcut to the Other Schools module.- Click to remove the school from the field. This is useful should you select a school in error.
- Click to view contact information for the selected current school.
Complete the Reference Information section:
Field
Explanation
Ref Requested
Enter the date that a reference request was sent to the applicant's current school.
Ref Received
Enter the date that a reference is received from the applicant's current school.
Learning Support Rec
Select whether the applicant requires learning support.
Complete the Interview Information section:

Enter a date for the applicant's school interview.
Interview Time
Enter a time for the applicant's school interview.
Interview Notes
Use this field to add any notes taken during the applicant's interview.
Click Save Record when finished.
Current school, reference and interview information are displayed in the applicant record. The applicant's current school information, such as contact details and school structure, is listed in the Current School tab.
Add School History
Use the Agencies & Schools option in an applicant record to log details of an applicant's former schools. Use this to record the schools that an applicant has previously attended and their reasons for leaving.
Access an applicant's school history from the Education History tab. From here you can:
Add Schools to the School History
To add a school to an applicant's school history, follow the steps below:
- In the Admissions module, select a records tab:
- Search and select an applicant record to work with and select Agencies & Schools from the right hand menu.
- Select the Education History tab:
Complete the Add School History section:
Field Explanation Start Year The date that the applicant first entered the school. End Year The date that the applicant left the school. Leave Reason Select the applicant's reason for leaving the school. - Click to use the calendar function to select a date, this saves time.
- The Use just Year checkboxes are currently not in use.
- In the Previous School field, either:
- Click and enter the applicant's previous school name in the window displayed.
- Select the applicant's previous school from the list displayed.
- Click ok to return to the Education History tab.
or
Click to add a school if the previous school is not listed. This is a shortcut to the Other Schools module.
- Click Save Record when finished.
The school is listed in the School History section of the Education History tab. You can then edit or delete the school entry from the applicant record, as required.
Edit School History Entries
Edit school history entries from the list in the Education History tab, as required.
To edit school history entries, follow the steps below:
- In the Admissions module, select a records tab:
- Search and select an applicant record to work with and select Agencies & Schools from the right hand menu.
- Select the Education History tab:
- In the School History section, click by the school entry you wish to edit.
The Edit School History window is displayed: - Edit the Start Year and End Year, as required.
- In the Previous School field, either:
- Click and enter the applicant's previous school name in the window displayed.
- Select the applicant's previous school from the list displayed.
- Click ok to return to the Edit School History window.
or
Click to add a school if the previous school is not listed. This is a shortcut to the Other Schools module.
- Click Save when finished.
The amended school entry is listed in the School History section.
Delete School History Entries
Delete school history entries from the School History section, as required. Use this to remove school history entries that have been made in error.
To delete school history entries, follow the steps below:
- In the Admissions module, select a records tab:
- Search and select an applicant record to work with and select Agencies & Schools from the right hand menu.
- Select the Education History tab:
- In the School History section, click by the school entry you wish to delete.
A popup window is displayed. You are prompted Are you sure you want to delete this record? - Click Yes.
The selected school entry is removed from the applicant record.
Add Competing School Details
Use the Agencies & Schools option in an applicant record to log details of the schools that an applicant has also applied for entry. This is useful for assessing your school's competition for applicants.
To add competing school details, follow the steps below:
- In the Admissions module, select a records tab:
- Search and select an applicant record to work with and select Agencies & Schools from the right hand menu.
- Select the Competition tab:
- Enter Competition Notes in the text field. You can use this to record comments about other schools that the applicant has applied for.
- In the Add Competition section, specify a Competition Rank for the competing school to be added to the applicant record.
- In the Competition School field, either:
- Click and enter the competing school name in the window displayed.
- Select the competing school from the list displayed.
- Click ok to return to the Competition tab.
or
Click to add a school if the competing school is not listed. This is a shortcut to the Other Schools module.
- Click Save Record when finished.
The competing school is listed in the Competition History section.
Click to delete competing school entries from the Competition History section, if required.
