For invoices to be emailed to pupil contacts, an email address must be recorded in the contact record. The billing contacts must also be set to receive invoices via email. This is controlled in the Pupil Manager module.
To set up a pupil contact to receive emailed invoices, follow the steps below:
Open the Pupil Manager module, select the pupil tab that you want to work with: Search and select a pupil record to work with and select the Contacts tab:
The following actions must be completed for a pupil contact to receive an invoice via email:
A pupil contact must be set as a billing contact and a recipient email address logged. Click in your selected contact to display the Student Contacts window. Select the Contact Details tab:
In the Core Contact Information section, go to the Mail Options checkboxes and select either :
All Merges (ALL ). To receive all correspondence.or Billing (BIL ). To receive pupil invoices.Scroll to the 1st Person Contact section and enter the contact's email address. Enter an email address for the 2nd Person Contact , if applicable. This is only displayed for joint contact types, such as 'Parents'. Select the Billing Email Address tab and enter an alternative email address:
Click Save Contact . The contact is listed with the icon.
The email address must be selected to receive invoices. Click next to your selected billing contact to display the Edit Billing Details window: Select the Invoice Preferences tab and set email preferences for receiving invoices:Use the radio buttons to set when invoices are sent by email to contacts. Default settings are configured in the Fees Billing module . Use the checkboxes next to each email address to select where invoices are sent. This can be changed if required when you publish invoices. Click Save Details . A message is displayed confirming that the details have been saved. Click Cancel & Close to close the Edit Billing window.
