Use the Admissions module to add applicants to Custom Groups. This is a useful time-saving shortcut. Custom Groups are groups of applicant and pupil records. Use the groups you create to search for applicant records and forward information regarding open days, etc.
Custom Groups are managed from the Custom Group Manager tab in the Pupil Manager module.
Choose to either:
- Add to NEW Group. Select applicants and add them to a new Custom Group.
or - Add to PREVIOUS Group. Select applicants and add them to an existing Custom Group.
Add Pupils to a New Custom Group
Use the Add to NEW Group option in the pink drop down list to add selected applicants to a newly created Custom Group. This is a useful shortcut for setting up Custom Groups. Use the groups you create to search for applicant records and forward information regarding open days, etc.
To create a new Custom Group, follow the steps below:
- In the Admissions module, select the Applicant tab.
- Use your preferred search method to find the applicant records that you want to work with. See Searching for Applicant and Parent Records for more information on searching for applicant records.
The Applicant Records List is displayed: - Use the checkboxes next to each Applicant's Name to select the applicant records that you want to edit. Check the box in the header bar to select all the records displayed.
- In the pink drop down list select Add to NEW Group.
The Selection Management window is displayed: - Enter a clear and concise name and short description for your Custom Group in the fields available.
- Choose a Selection Category from the drop down list displayed.
Custom Groups are listed under Custom Groups in the Applicant tab, making them easier to organise and locate. Click to add a new category to the drop down list available, if required. - Use the Shared Selection check boxes to control who can view and edit the Custom Pupil Group.
- Either:
- Check the Disable Expiry Date box and the Custom Group is set up indefinitely.
or - Uncheck the Disable Expiry Date box and enter an expiry date for the Custom Group. This is a useful housekeeping tool. For example, once an induction is complete the Custom Group is listed as expired.
- Check the Disable Expiry Date box and the Custom Group is set up indefinitely.
- Click Save New Selection.
You are prompted when the group is created. - Click OK to return to the applicant records list.
Add Pupils to an Existing Custom Pupil Group
Use the Add to PREVIOUS Group option in the pink drop down list to add selected applicants to an existing Custom Group This is a useful shortcut if you have latecomers for a school open day or new applicants that you want to add to a group.
To add pupils to a Custom Group follow the steps below:
- In the Admissions module, select the Applicant tab.
- Use your preferred search method to find the applicant records that you want to work with. See Searching for Applicant and Parent Records for more information on searching for applicant records.
The Applicant Records List is displayed: - Use the checkboxes next to each Applicant's Name to select the applicant records that you want to edit. Check the box in the header bar to select all the records displayed.
- In the pink drop down list select Add to PREVIOUS Group.
The Selection Management window is displayed: - Select a Custom Group from the drop down list.
- Click Save To Selection.
You are prompted when the group is saved. - Click OK to return to the applicant records list.
