Use the Visits tab in an applicant record to log details about past applicant visits to your school.
It is recommended that school visits scheduled for future dates, such as 'Open Days', are created in the Marketing tab. You can then add selected applicants to the scheduled visit using the pink drop down list.
Choose to:
- Create a group visit and add applicants to the visit using the Admissions Visit wizard.
- Add a quick visit to an applicant record.
Using the Admissions Visit Wizard
Use the Admissions Visit wizard to add details of a past event to an applicant record. Setup basic details such as the type of visit and date. Use the wizard to add applicant contacts to the visit. Add itinerary details after you have created a visit using the wizard.
To add an admissions visit, follow the steps below:
- In the Admissions module, select a records tab:
- Search and select an applicant record to work with and select the Visits tab.
- Select Add Visit Wizard from the header bar.
Step 1 of the Admissions Visit wizard is displayed: Complete the sections in Step 1:
SectionExplanationVisit Details - Enter a clear and concise Name for the visit (this is displayed throughout the module).
- Select a visit Category from the drop down list. See Manage Admission Visit Categories if you need to add a new category.
- Use the Notes field to add detailed notes, such as the reason for the visit.
Visit Date/Time Range Use the Visit Date/Time Range section to enter a date and time for the visit.Portal Settings The Portal Settings fields are not currently in use. Visit Defaults - Mark All Attended. Any applicants that are linked to the visit are automatically marked as attending the visit. Attendance is displayed in applicant records. This checkbox is a useful time saving tool and ensures that attendees are included in visit statistics.
- Requires Feedback. This function is not currently in use.
Click Next Step.
The visit details are saved in iSAMS. Step 2 of the Admissions Visit wizard is displayed:
Applicant contacts are only listed here if:- The link between the contact and the visit has been removed at some point.
- The applicant has multiple contacts listed.
- Assign contacts to the visit by checking the box next to your selected contact and clicking Save Contacts.
You are prompted when the contact has been assigned to the visit. - Click Next Step.
Step 4 of the Admissions Visit wizard is displayed. The contacts associated with the visit are listed: - Use Step 4 of the wizard to remove any contacts associated with the visit:
- Click next to your selected contact.
A popup window is displayed. You are prompted Are you sure you want to remove this contact? - Select Yes. Your selected contact is removed.
- Click next to your selected contact.
- Click Next Step. You are prompted you that you have completed the wizard. A summary of the visit is shown:
- Click Finish to close the wizard window.
The visit is listed under the selected category in the applicant record.
Adding a Quick Visit
Add a quick visit record from the Visits tab. This is useful for quickly adding basic details of an applicant's visit to your school. Add basic details such as the date and time of the visit.
To add a quick Admissions Visit record, follow the steps below:
- In the Admissions module, select a records tab:
- Search and select an applicant record to work with and select the Visits tab.
- Select Add Quick Visit from the header bar.
The Add Quick Visit window is displayed: - Enter a clear and concise Name for the visit (this is displayed throughout the module) and select a visit Category from the drop down list. See Manage Admission Visit Categories if you need to add a new category.
- Use the Notes field to add detailed notes, such as the reason for the visit.
- Use the Visit Date/Time Range section to enter a date and time for the visit.
- The Portal Settings fields are not currently in use.
Assign contacts to the visit by checking the box next to your selected contact.
Applicant contacts are only listed here if:
- The link between the contact and the visit has been removed at some point.
- The applicant has multiple contacts listed.
Click either:
Save Visit.
orSave & Add to add another visit.
The visit is listed under the selected category. You can now an itinerary to the visit.
