Use the Manage Applet Workflows option in the SMS Gateway to manage where inbound messages are sent within your school. For example, create a workflow for stopping messages being sent and email these messages to a selected member of staff to action.
- Select the iSAMS Control Panel from the left hand menu.
- Select the SMS Gateway listed within the applets available.
- Select Manage Applet Workflows from the right hand menu:
- Choose to:
- Create a workflow.
- Edit a workflow. Change any details required in a workflow, such as the active status.
- Delete a workflow. Remove a workflow that is not required.
- Change the order of workflows. This only changes the order that workflows are displayed in iSAMS.
Create a Workflow
- Click Create Applet Workflow in the top left of the screen.
A popup window is displayed: Select the Workflow Properties tab and complete the fields available:
Field Explanation Workflow Name Enter a clear and concise name for the workflow. This is displayed when you link workflows to a virtual number. Workflow Description This optional field is for administration purposes but is useful for helping to understand the use of the workflow. Workflow is Active Select: - 'Yes' for the workflow to be used.
- 'No' and the workflow cannot be used.
Default Workflow Select 'Yes' for the workflow to be used as the default when linking workflows to virtual numbers. Click the Workflow Process tab and select where these messages are processed. Select either:
- 'E-Mail' and enter the recipient details along with the subject and body of the email which accompanies the inbound messages.
or - 'Webhook' and enter a web address where inbound messages are sent.
- 'E-Mail' and enter the recipient details along with the subject and body of the email which accompanies the inbound messages.
Select the Auto Reply tab complete the fields available:
Field Explanation Enable Auto Reply Select 'Yes' for an auto reply to be sent in response to an inbound message. Auto Reply Identity Select the identity displayed for the auto reply message. Auto Reply Body Enter a message for the auto reply. Click Save & Close.
- The workflow must now be linked to a virtual number to operate as expected.
Edit a Workflow
- Click in your selected workflow to display this popup window:
Select the Workflow Properties tab and amend the fields available:

Delete a Workflow
- Click in your selected workflow.
You are prompted Are you sure you want to delete this applet workflow? - Select OK.
The workflow is deleted.
Change the Order of Workflows
- Click Order Applet Workflows to display this popup window:
- Select a workflow from the list displayed. Use the arrows available to move it up or down the list, as required.
- Click Save & Close when finished.
Workflows are displayed in the revised order throughout the module.
